Pet owners book appointments weeks in advance, put them in phone calendar, or forget entirely. A week before the appointment, something comes up and they do not cancel. They simply do not show. Empty appointment slots at a vet clinic cost time, revenue, and staff scheduling problems. An SMS sequence that runs automatically after booking, with messaging specific to pet care, catches owners who need to reschedule early and confirms owners who forgot they booked.
Send the first SMS within one hour of booking
This message confirms the booking and collects critical information for the visit. Include the pet's name, the visit type (wellness, vaccination, dental cleaning), the appointment date and time, and your clinic's location. Ask the owner to confirm the pet's current weight or any specific concerns for this visit. This accomplishes two things: it validates the booking, and it gathers information that your staff will need during the appointment.
Offer one-tap reply buttons for "Confirmed," "Reschedule," or "Need to cancel." If they tap "Reschedule," send back 3 to 4 available times in the next two weeks. Offer a phone call option for owners who prefer to discuss timing or have questions about the visit type.
Send a midpoint check-in at the halfway mark before the appointment
If the appointment is three weeks out, send a message at 10 days. If it is one week out, send at three to four days. The message is short: "Your appointment for [pet name] is confirmed on [date] at [time]. Any questions? Text back or call us." This is a soft touchpoint that activates owners who booked long ago and may have forgotten. Include a direct number to call and allow text replies.
Send a 24-hour reminder with logistical details
The final message goes out 24 hours before the appointment. Include the time, your address with a maps link, parking instructions, and any pre-visit instructions (fasting before surgery, bringing vaccination records, etc.). Ask the owner to confirm or let you know if they need to reschedule. At this stage, cancellations and reschedules are manageable. No-shows are not.
- Message 1 (within 1 hour): Booking confirmation with pet name, visit type, date, time, and location. Collect info (weight, specific concerns) via reply.
- Message 2 (midpoint, 10 days out for 3-week bookings): Soft reminder with one-tap reschedule option and direct call number
- Message 3 (24 hours before): Final confirmation with location, parking, pre-visit instructions, and confirm/reschedule options
- All messages must include your clinic name, phone number, and a link to cancel if owners need to tell you they cannot come
- Segment and suppress reminders for owners who have already confirmed; send only to unconfirmed bookings
Pet owners are willing to reschedule. They are not willing to call and wait on hold. Make rescheduling friction-free via SMS or lose the appointment to a no-show.
Use reschedule data to catch future no-shows
Track which owners reschedule in the final 24 hours. These owners often have unpredictable schedules. Add them to a "confirm-twice" segment that receives an extra midpoint message at five days instead of waiting until three days. Track which owners never reply to any message but show up anyway (they saw it but did not engage). For the next booking, send message one and skip the midpoint check-in; go straight to the 24-hour reminder.
Owners who book and never respond to any message have the highest no-show risk. For this segment, consider adding a fourth message two days before: "Reminder: [pet name]'s appointment is in 2 days at [time]. Please confirm by replying YES or text CANCEL. If we do not hear from you, we will hold the slot." This is more direct but can feel aggressive. Test it on a small segment first.
