An events venue we work with had two Facebook Pages — one from an early rebrand years earlier that nobody had deactivated, and the current one actively used for marketing. Their Instagram account had somehow ended up linked to the old, inactive Page. Ads could still technically run, but cross-posting, unified inbox messaging, and reporting all quietly broke in small ways nobody had diagnosed, because everyone assumed the Instagram account was connected to the Page they were actually looking at every day.
Why the Facebook-Instagram connection matters beyond just posting
For a business account, Instagram isn't fully standalone — its connection to a Facebook Page unlocks a set of features that don't work, or work poorly, without it: running Instagram ads through Meta's ad platform, using the unified inbox in Meta Business Suite to manage both Facebook and Instagram messages in one place, cross-posting content between the two platforms, and appearing correctly in Meta's own analytics and reporting tools. A misconfigured or outdated link doesn't necessarily break everything outright, but it tends to produce exactly the kind of small, hard-to-diagnose inconsistencies that waste time chasing down.
Checking the current connection
- Open Meta Business Suite settings and navigate to the accounts section, which lists connected Pages and Instagram accounts together.
- Confirm the Instagram account shown is the business's current, active account — not an old handle from a rebrand or a personal account that was used before the business account was created.
- Confirm the Facebook Page shown is the current, active Page — checking the Page name, profile photo, and recent post history against what's actually live and being used.
- If the connection looks wrong or outdated, Meta's settings allow disconnecting and relinking to the correct Page, though it's worth doing this deliberately rather than experimentally, since it can briefly affect ad delivery on active campaigns.
The multi-location or multi-brand complication
A business with more than one location or more than one brand — a dental practice with two office locations, or a restaurant group with multiple concepts — has to be especially careful here, since it's easy to end up with location A's Instagram linked to location B's Page, or a corporate umbrella Page linked to the wrong location's Instagram account. Each brand or location typically warrants its own clearly linked Page-Instagram pair, with clear naming inside Business Manager so nobody accidentally posts or advertises the wrong location's content to the wrong Instagram audience.
The Page and Instagram account being linked correctly is invisible when it's right and confusing when it's wrong — which is exactly why it's worth checking rather than assuming.
What breaks specifically when the link is wrong
- Instagram ads created in Ads Manager may default to using the wrong Facebook Page identity as the advertiser shown to the audience.
- The unified inbox in Business Suite may show messages from the wrong Instagram account, or miss Instagram messages entirely if the accounts aren't properly connected.
- Cross-posting a feed post to both platforms simultaneously may fail silently or post under an unintended account.
- Insights and analytics for Instagram may not appear correctly inside Business Suite's reporting if the underlying connection is broken.
Cleaning up old, unused Pages
Beyond fixing the active connection, it's worth actually addressing old, inactive Pages rather than leaving them dormant — they can confuse customers who find them through search, and they add clutter that makes it harder to confirm the right assets are linked. Meta allows merging duplicate Pages in some cases, or simply unpublishing an outdated one once its content and any remaining followers have been accounted for.
Making this part of a regular account health check
This kind of connection issue tends to accumulate silently after rebrands, staff turnover, or agency transitions, so it's worth including in a periodic account audit rather than checking it once and assuming it stays correct indefinitely — especially after any change in who manages the account.
We check Page and Instagram account linkage as part of every Meta platform audit we run for new clients — see our free marketing audit for how we approach this.
